Your role
As a Central Service Reception Administrator 1, your mission is to support a facility of approximately 450 employees and report to the Sussex Facilities Manager.
You will
- Manage Reception services and other site administration tasks for all departments within the Global Technology Centre.
- Enable the smooth operation of the Reception and Administrative services based at Burgess Hill.
- Support the administration functions and any other duties deemed appropriate for the position.
- Maintain a high standard of service through excellent customer facing skills and a smart Company uniform.
- Work within a team to manage the Reception and Central services ensuring all visitors are dealt with in a polite and friendly manner.
- Administration of pool cars ensuring road worthiness through servicing and repairs, MOT and Road Tax records when required.
- Responsible for the maintenance of the switchboard, including all telephone changes/office moves and reporting any faults to the facilities team
- Organise transport and accommodation for visitors and staff as required, i.e. taxis, airport, parking,local hotels etc
- Ensure the rota for the department is maintained at all times organising for external temporary cover as required for Holiday and Sickness.
- Organise external delivery services including DHL and same day couriers for urgent despatches, cost code and check invoices and maintain a logging system.
- Check and approve via SIPs invoice approval system for postage, couriers, taxis etc.
- Induct new employees regarding site Health and safety in the absence of the EHS Officer.
To succeed, you will need
to be able to interact with all departments and at all levels from shop floor to executive management and assists in providing a wide range of services. The overall effectiveness and efficiency of services provided in this area of the company can have a direct or indirect effect on customer/order levels and a high credibility must therefore be maintained at all times.
- Computer literate, skilled in the use of the relevant software packages (MS Office and Outlook), with good keyboard skills
- Previous switchboard experience preferable.
- Helpful and friendly personality
- A good understanding of the company organisational structure.
- Self-motivated with the ability to work unsupervised and use initiative in progressing own work.
- A flexible approach, able to cope with a constantly changing environment and priorities, work under pressure and handle variable workloads.
- Excellent telephone manner.
