CTS Service Planner

Your role
As a CTS Planner, you will be responsible for the efficient planning and coordination of service activities, ensuring optimal utilisation of Field Service Engineers (FSEs), adherence to service processes, and timely communication with customers and internal stakeholders.
Your responsibilities include:
Planning & Scheduling
- Plan and schedule daily service activities for Field Service Engineers
- Allocate resources based on skills, location, availability, and job priority
- Ensure forward planning aligned with preventive maintenance schedules
- Adjust planning dynamically to accommodate breakdowns and urgent requests
Service Coordination
- Ensure all service jobs are properly created, planned, and updated in the system
- Coordinate effectively with Service Managers, FSEs, and logistics teams
- Ensure availability of required spare parts before scheduling interventions
- Follow up on pending operations to ensure timely execution
Customer Communication
- Inform customers in advance of planned service visits (minimum 24 hours when possible)
- Provide updates in case of delays or rescheduling
- Support resolution of scheduling-related customer issues
Process Compliance & Administration
- Ensure all planning activities are executed using company tools (e.g. SAP, COPS, Planner Dashboard)
- Follow service procedures for job planning, execution tracking, and closing
- Ensure accurate and timely closing of service orders
Performance & KPI Monitoring
- Monitor key planning KPIs such as job completion timelines, preventive maintenance compliance, and service backlog
- Support actions to maintain low backlog and controlled Work-In-Progress (WIP)
- Contribute to improving planning efficiency and service delivery performance
Financial & Operational Support
- Ensure accurate allocation of working hours and alignment with planned activities
- Support cost-effective planning decisions (travel optimisation, workload balancing)
- Assist in ensuring timely invoicing through proper job execution and closure
Continuous Improvement
- Identify inefficiencies in planning processes and propose improvements
- Support standardisation of planning practices
- Contribute to optimisation initiatives using available planning tools and data
To succeed, you will need
Experience
- Minimum 3–5 years of experience in service planning, coordination, or administration
- Experience in a technical service environment is an advantage
- Understanding of service workflows and job planning processes
- Exposure to preventive maintenance planning and breakdown coordination
Knowledge & Skills
- Strong organisational and planning skills
- Ability to manage multiple priorities in a fast-paced environment
- Good problem-solving and decision-making skills
- Process-oriented mindset with attention to detail
- Customer-focused and proactive approach
- Proficiency in Microsoft Office tools (Excel and Word)
- Experience with systems such as SAP or similar ERP tools is preferred
- Good understanding of service KPIs and basic reporting
- Fluent in English
Education
- Diploma, Bachelor’s degree, or equivalent experience in a relevant field
