Spare Parts Orders Administrator- Gas & Process Division

Your role

The Spare Parts Orders Administrator is responsible for managing the end-to-end processing of spare parts orders, ensuring accurate order entry, timely delivery, and excellent customer service. The role supports sales, logistics, and customers by coordinating spare parts orders bookings & invoicing, order fulfillment, and administrative activities.

Key Responsibilities

Order Management

• Receive, review, and process spare parts orders from customers, sales teams, and service departments.
• Verify part numbers, pricing, availability, and delivery requirements.
• Create and maintain accurate sales orders within the ERP system.
• Monitor order status from receipt through delivery.
• Ensure timely confirmation and acknowledgment of customer orders.

Supply Coordination

• Coordinate with product companies and forwarders for deliveries.
• Monitor backorders and expedite urgent requirements when necessary.

Logistics Coordination

• Liaise with logistics providers to arrange shipments and monitor deliveries.
• Prepare shipping documentation and ensure compliance with company procedures.

Documentation and Reporting

• Maintain accurate records of orders, quotations, invoices, and customer communications.
• Ensure all transactions comply with company policies and procedures.

Cross-Functional Collaboration

• Work closely with sales, service, product companies, finance, and logistics teams.
• Support aftermarket and service operations.
• Participate in process improvement initiatives to enhance order management efficiency.

To succeed, you will need

• Bachelor’s degree in business or equivalent experience
• 3 to5 years’ experience in sales support or aftermarket parts admin
• SAP experience
