Your Role

Roles and Responsibilities

 

As Regional Service Administrator, you will be reporting to the Regional Operations Manager and will be responsible in all aspects of service administration for the South region.

 

Main mission, responsibilities.

  • General Support – Service Managers, Technicians, Service Coordinators and Customers
  • Van Inventory – review stock levels and ensure returns are being processed timely
  • Review technician time daily; assist with time entries as needed; provide troubleshooting and support
  • Review profitability for fixed price jobs (planned versus actual)
  • Review Oil Samples
  • Review SmartLink notifications and distribute accordingly
  • Review technician utilization and notify Service Managers regarding any issues
  • Enter and maintain On Call schedule
  • Update Technician information sheets as required
  • Process ePad approvals involving Service Managers as needed
  • Review and allocate Regional billing: Cintas, Grainger, etc.
  • Code and submit invoices for payment to AP department and follow up on vendor payment requests
  • Create Red Wing Safety Boot Vouchers
  • Work with the Regional Technical Support Liaison to maintain Tool inventories/calibrations in Tool House
  • Follow up NPS responses and escalate to management as required
  • Review GPS (GeoTab) and Mileage reports and notify Service Managers regarding any issues
  • Schedule Technician training as directed by Service Managers
  • Review and report Technician’ training progress in Learning Link
  • Data entry into SAP, Excel, and/or other software systems as needed for various functions and reports.
  • Ensure warranty orders are processed in a timely manner
  • Complete necessary training as required
  • Filing – create new files for work orders, vendor invoices and other documents as needed
  • Understand and fulfil the requirements of company Policies not limited to Technical Warranty, Product Liability and Occupational Health, Safety and Environment
  • Work cooperatively with Customer Service, Technical Service and Field Service groups in a spirit of teamwork.
  • Other duties or activities as assigned by manager

Experience

 

2-3 years in a Service administration or similar role.

 

Education

 

High School diploma.

 

Skills

 

  • Software skills e.g. MS Office
  • Attitude to work in a team is a must
  • Proficiency in SAP will be considered as a strong plus 
  • Excellent command of English is a must both oral and written
