Your role

As a Office Administrator, your mission is to manage daily administrative and office operations to ensure a smooth, secure, and efficient workplace. It provides essential support to employees and visitors while proactively coordinating resources and administrative processes.

You will

  • Coordinate visitor logistics including entry permits, transportation, and hotel arrangements.
  • Manage reception duties such as call handling, visitor reception, and mail distribution.
  • Maintain office security, access control, visitor logs, badges, and car park permits.
  • Procure and manage office and pantry supplies, ensuring adequate stock levels.
  • Provide administrative support for employee onboarding, trainings, meetings, corporate initiatives, catering, and cultural events.Manage facility rentals, vendor coordination, and contract renewals.
  • Support ad-hoc administrative tasks and projects assigned by the Office Manager or line managers

Skills & Knowledge

  • Fluent in both spoken and written Chinese and English, with strong interpersonal and communication skills.
  • Proficient in Microsoft Office Suite and familiar with general office and pantry equipment.
  • Demonstrated ability in organization, problem-solving, time management, and handling multiple tasks simultaneously.
  • Able to work independently with minimal supervision while meeting tight deadlines.
  • Highly self-motivated, proactive, detail-oriented, and team-oriented, with a creative and critical mindset.
  • Broad generalist knowledge with a focus on office administration, event coordination, and logistics support.
  • Solid understanding of administrative procedures to ensure efficient daily office operations and collaboration.

Qualifications & Experience

  • Bachelor’s degree in Business, Human Resources, or a related field.
  • Over two years of hands-on experience in office administration, administrative assistant roles, or front desk/reception positions.
