Mission:  

Schedule field service repairs of compressed air equipment, providing regular updates to the Service Manager and customer.  Supporting warehouse to include shipping, receiving, and warehouse functions in a safe, timely, and accurate manner.

 

 

75% Service Coordination responsibilities:

Service Scheduling – Receive incoming calls/emails for service and installation of prime equipment and schedule all shop and field service jobs in Planning Board daily. Work with the Service Manager to coordinate the activities of the Service Department and maximize Service Technician utilization daily. Confirm service schedules with customers and technicians daily. Serve as the information liaison between the Service Manager, Service Technicians, and customers – providing regular updates to customers regarding service that is in process on a daily basis. Manage and control work in progress daily. Report problems that service technicians are having to the Service Manager. 

 

Service Administration – Secure purchase orders for service work and verify terms and conditions with customers. Maintain (edit as needed) scheduled service orders in Planning Board (including both manual orders and service contracts) daily. Track and file relevant paperwork. Order, track, follow up and expedite parts as needed on a daily basis. Updating order notes daily. Attending daily/weekly meetings. Complete administrative requirements for element return function. Monitor and respond to emails daily. Respond to customer calls/emails within 24 hours. Focusing on KPI’s daily to achieve the KPI goals.

Perform all duties in accordance with Atlas Copco standards, while always striving to understand the needs and expectations of the customer.

(25%) Warehouse Specialist responsibilities:   

Warehouse Specialist responsibilities include shipping, receiving, and warehouse functions in a safe, timely, and accurate manner. Deliver and pick up parts/equipment to support Field Service Technicians at customer sites. The position also involves checking in, checking out, maintaining, shipping, receiving, and calibrating the regional shared tools.

 

Order fulfillment, shipping/receiving - Pick parts for customer orders using appropriate material handling equipment as needed. Pack materials and products for shipment to customers, create packing slips, entry of order information in shipping system (e.g., FedEx, UPS). Write bill of ladings for truck shipments. Receive and warehouse incoming parts, periodic inventory of stock, warehouse/shop maintenance, keep inventory highly organized in accordance with our ISO9001 procedures (includes Nonconformance process). Organize and process parts returns.

 

Parts & Equipment delivery/pickup - Arrange deliveries and pick-up in a safe, efficient, and timely manner. Inspect arriving goods for any damage and document outgoing goods to show condition when leaving. Use an assigned system to track deliveries.

 

Warehouse Activities – Maintain a tidy and highly organized environment. Ensure all machines are color tagged, everything on racking is clearly identifiable, and keep aisles and walkways clear at all times. Arranging for proper waste disposal per ISO like oil, electronics, scrap metal, etc. Ensure Technicians working in the shop are safe and maintaining a tidy work area.

 

Perform other duties as assigned.

 

 

To succeed, you will need

 

Experience – Minimum of two years of relevant service coordination and/or dispatch experience.  Minimum 1–2 years’ of demonstrated experience with shipping, receiving, and other warehouse functions.

 

Education –  4-Year Bachelor’s degree or equivalent work experience is required.

 

Skills – Must be able to work independently and have excellent organizational, interpersonal, communication (verbal and written), problem-solving skills, daily prioritizing/reprioritizing, time management, & multitasking skills. Must be able to manage multiple priorities with flexibility, a positive attitude, and a strong commitment to customer service. Must be proficient in Microsoft Office, including Word and Excel, as well as in OneNote/SharePoint applications.  Experience with MAM and/or Planning Board preferred. Experience with contract planning.  Fluent in Spanish (reading, writing, speaking) a plus.  Demonstrated knowledge of shipping, receiving, and other warehouse functions.  Ability to operate material handling equipment such as forklifts, hand trucks, and pallet jacks.  Must be able to work efficiently with a high level of accuracy.  Mechanical aptitude and a valid drivers’ license are required.
