Position Summary
The Inside Sales & Service Specialist provides technical and commercial support to customers while ensuring the efficient coordination of service activities, spare parts, logistics and operational administration. Acting as a key interface between customers, sales, service technicians and suppliers, the role contributes to customer satisfaction, business development, parts availability and reliable operational execution.

Key Responsibilities
- Act as the first point of contact for customers by phone, email and at the customer counter, providing responsive technical and commercial support.
- Understand customer needs and recommend suitable spare parts, maintenance kits and service solutions.
- Prepare, issue and follow up service quotations, process customer orders and monitor their accurate and timely execution.
- Plan, on a daily basis, the workload of each technician for both preventive and corrective interventions.
- Proactively promote spare parts, preventive maintenance, service agreements and aftermarket solutions.
- Receive and register technical assistance requests; coordinate planned and urgent service interventions, technician schedules and customer communications.
- Open, monitor and close service work orders, ensuring that labour, travel, materials and technical information are correctly recorded.
- Identify and select spare parts, consumables, repair components and maintenance kits to prepare quotations and orders, while maintaining accurate data in the ERP system.
- Manage the purchasing and replenishment of spare parts; monitor stock levels, rotation, consumption, lead times, back orders and safety-stock requirements.
- Reserve and allocate parts for customer orders and service interventions; coordinate inbound and outbound logistics with suppliers, technicians, customers and transport providers.
- Ensure the correct receipt, verification, storage, picking, packing, dispatch and documentation of parts, and communicate proactively on availability and delivery dates.
- Load and unload goods and operate a forklift when required.
- Perform cycle counts, physical inventories and stock reconciliation.
- Manage returns, warranty returns, repair loops and supplier claims when applicable.
- Support purchasing, invoicing and administrative processes, maintaining accurate documentation for quotations, orders, deliveries, interventions, returns and warranties.
- Collaborate with sales, service, finance, suppliers and customers; comply with company procedures and contribute to continuous improvement in customer experience, service efficiency and inventory performance.

Skills & Competencies
- Strong customer and service orientation, with commercial awareness.
- Good technical understanding of industrial products and ability to interpret technical documentation, bills of materials, exploded views and parts catalogues.
- Competence in quotations, order management, purchasing, logistics and inventory processes.
- Clear communication, relationship management and cross-functional collaboration.
- Strong planning, organisation, attention to detail and ownership.
- Proactive problem-solving and ability to manage multiple priorities in a dynamic environment.
- Native Portuguese or equivalent level, with a good command of English. Spanish is an advantage.
- Ability to operate a forklift.
