Executive Assistant

Your role
As an Executive Assistant at Atlas Copco Brand Studio, you will play a pivotal role in ensuring seamless administrative operations that support the leadership team and wider organizational functions. Your responsibilities will include:
- Coordinating complex schedules, arranging logistics, and managing calendar appointments for leadership team meetings, ensuring efficient time management and preparedness.
- Organizing and supporting a variety of company events, workshops, and internal gatherings that foster engagement and collaboration among employees.
- Maintaining office supplies and managing everyday administrative correspondence to guarantee smooth workflow and resource availability.
- Preparing essential documentation, including internal reports and presentations for leadership, which support strategic decision-making and communication efforts.
- Managing customer newsletters and coordinating communications to maintain consistent and professional outreach to external stakeholders.
- Serving as the primary point of contact for administrative support across multiple teams, helping to streamline processes and improve operational efficiency.
- Liaising effectively with internal stakeholders and external service providers to resolve issues and facilitate service delivery.
- Representing Brand Studio in the Atlas Copco India Pvt Ltd Plant and Property Council, contributing to interdisciplinary collaboration and best practice sharing.
- Implementing Group and ACIPL policies and procedures related to operations and administration to maintain compliance and support organizational standards.
- Reporting key updates and insights during Brand Studio administrative meetings to maintain alignment and transparency.
- Utilizing data analytics tools to derive performance insights and generate decision-support reports that inform operational improvements.
- Managing office facilities and equipment, including phones, copiers, and IT assets, ensuring maintenance and functionality are sustained.
- Overseeing office inventory management, tracking leases, renewals, and coordinating maintenance needs to reduce downtime and optimize office environment.
- Raising purchase orders for office assets, maintaining an up-to-date asset repository, and collaborating with the accounts team to ensure timely vendor payment processing and financial accuracy.
In this key supporting role, your attention to detail, proactive mindset, and ability to coordinate across multiple functions will be essential in maintaining an effective and professional administrative backbone for the company.
To succeed, you will need
- Bachelor’s degree in Business Administration, Management, or a related discipline is required.
- Demonstrated strong organizational skills, with the ability to prioritize tasks and manage time efficiently in a dynamic environment.
- Proficiency in data analytics tools and reporting software to effectively generate insights and support decision-making.
- Capable of working autonomously as well as collaboratively within cross-functional teams, fostering a cooperative work environment.
- Previous experience in customer service, project coordination, or invoicing processes will be advantageous and contribute to your success in this role.
