Order Management Executive

Your role

Main responsibilities

• Order Execution: Efficiently order booking, validate, and execute incoming customer purchase orders within the SAP system. 

• Documentation: Generate and dispatch Order Acknowledgements and Proforma Invoices to customers promptly. 

• System Monitoring: Continuously monitor orders in SAP, managing internal order generation (PC), tracking material availability, and resolving delivery/system holds. 

• SAP Customer Creation: Manage the end-to-end setup and creation of new customer accounts and End-User profiles within the SAP system. 

• CRM Maintenance: Own the detailed updating and enrichment of new customer profiles and interactions within the CRM platform to ensure data integrity across teams. 

• Compliance Coordination: Partner closely with the Global Trade Compliance team to review, address, and successfully release regulatory and compliance holds on accounts and orders. 

• Material Tracking: Coordinate with internal supply chain counterparts i.e. internal PC’s, CC’s Product Manager, Planner to track material availability, manage dispatches, secure shipment documents, and expedite urgent orders. 

• Fulfillment Planning: Plan and schedule invoicing and dispatch based on real-time material availability, providing clear routing instructions to the warehouse/shipping team. 

• Order Visibility: Provide proactive, regular order status updates to customers regarding timelines and shipping schedules. 

• Internal Reporting: Keep internal teams aligned by providing consistent, regular updates on Orders On Hand, Stock in transit, and Inventory Material. 

• Data Maintenance: Oversee and maintain comprehensive records of sales invoicing and open order data. 

• Analytics: Perform regular data analysis on order trends, backlog metrics, and fulfilment cycles to help optimize the order-to-cash process. 

To succeed, you will need

Skill/ Knowlegde/ Experience

• Graduate in any specialisation
• Atleast 3 years of Experience in Order & Supply Chain Managment in manufacturing organisation
• Commercial transaction knowledge & Knolwedge on ERP (SAP) related to Order to Cash (O2C) 
• Other requirements.
• English & local language is a must, Listening & interpersonal skills
• Planning, organising (prioritizing), Co-ordinating & Execution.
