Summary

The Supply Chain Coordinator – Equipment is responsible for coordinating the end-to-end flow of equipment orders, inventory, procurement activities, vendor communications, logistics, and customer deliveries. This role serves as a critical link between Sales, Operations, Service, Production, Suppliers, Logistics Providers, and Customers to ensure equipment is delivered accurately, on time, and in accordance with company standards. 

 

Roles and Responsibilities 

  • Manage the complete customer equipment order lifecycle, including order entry, order validation, procurement coordination, supplier follow-up, shipment scheduling, delivery tracking, SAP order maintenance, goods receipt processing, invoice validation, and final customer invoicing.

  • Enter, maintain, and update customer order information in SAP and CRM systems, ensuring accuracy of pricing, product configuration, delivery schedules, and customer requirements throughout the order lifecycle.

  • Review customer purchase orders for accuracy, completeness, and compliance with company requirements.

  • Coordinate order releases, scheduling, and shipment activities to meet customer expectations.

  • Manage vendor communications regarding lead times, product availability, production schedules, and shipment status.

  • Monitor inventory levels and collaborate with purchasing and operations teams to support customer demand.

  • Validate and approve vendor invoices by verifying pricing, quantities, and receipt of goods against purchase orders and supporting documentation.

  • Perform SAP goods receipts (GR) to accurately record equipment and material receipts, ensuring inventory accuracy and timely vendor payment processing.

  • Identify, communicate, and escalate supply chain risks that may impact customer deliveries.

  • Coordinate inbound and outbound equipment shipments.

  • Work closely with transportation providers, warehouses, and freight partners to ensure timely deliveries.

  • Coordinate delivery schedules with customers, carriers, and internal departments.

  • Partner with Sales, Production, Warehouse and Finance teams to ensure seamless order execution.

  • Serve as a primary point of contact for customers regarding order status, equipment availability, and delivery schedules.

  • Resolve customer inquiries related to shipment tracking, order fulfillment, and equipment deliveries.

  • Process returns, credits, equipment exchanges, and warranty-related transactions as required.

  • Submit and manage freight damage claims for damaged or lost equipment by coordinating with customers, carriers, vendors, and the Claims Department.

  • Collect, review, and submit required photographs, shipping documents, delivery receipts, inspection reports, and supporting documentation to ensure timely claim processing, resolution, and recovery of costs.

  • Maintain accurate records within SAP, CRM, and inventory management systems.

  • Generate and analyze reports related to inventory, order status, and purchase order status

     

To succeed, you will need

Experience

  • 2–5 years of experience in supply chain, logistics, order management, procurement, customer service, or equipment coordination.

 

Education

  • Associate degree in Supply Chain Management, Business Administration, Operations Management, Logistics, or related field; equivalent experience may be considered.

 

Skills and Qualifications

  • Required experience utilizing SAP for order management, customer order processing, inventory inquiries, shipment tracking, supply chain coordination, goods receipts, invoice verification, and customer invoicing.

  • Proficiency in Microsoft Office Suite, including Excel.

  • Strong organizational, analytical, and time-management skills.

  • Ability to manage multiple priorities in a fast-paced environment while maintaining a high degree of accuracy and attention to detail.

  • Strong verbal and written communication skills.

  • Demonstrated ability to build effective working relationships with customers, vendors, and internal stakeholders.
