Rental Sales Coordinator

Key accountabilities/activities

As our newest Rental Sales Coordinator, you will provide sales and operational support to the rental equipment department based in our branch in Saint-Mathias-du-Richelieu. You will be responsible for receiving rental requests from various sources, contacting customers, drafting rental contracts, planning deliveries and returns, managing the administrative follow-up of rental contracts, and maintaining communication with clients. With your strong background in coordination and customer service, you will ensure smooth operations and high customer satisfaction.

The Rental Sales Coordinator will report to the Workshop and Rental Manager.

This position has a work schedule is 37.5 hours per week.

Main Responsibilities include

• Monitor and receive inbound rental enquiries
• Maintain, validate and create related entries and customer data in CRM (C4C).
• Monitor and drive rental fleet sales performance
• Responsible for processing, verifying and issuing periodic rental invoices to customers as per contract as well as ensuring accuracy
• Respond to customer requests, ensure the necessary follow-ups, and provide prompt and professional service.
• Create and update rental contracts in the system CRM ( FS) .
• Manage the daily planning of deliveries, installations, pick-ups, and maintenance of rental equipment.
• Follow up on purchase orders.
• Contribute to the continuous improvement of rental and customer service processes.
• Maintain daily communication with subcontractors responsible for maintenance, repairs, or deliveries to confirm timelines and ensure proper execution.
• Comply with the organization’s policies and standards related to environment, health and safety, and quality assurance.
• Support other related tasks and projects as needed.

To succeed, you will need

• 1 to 3 years of experience in sales support, coordination, planning, or customer service (experience in the industrial sector is an asset).
• Strong oral and written communication skills in both French and English.
• Excellent organizational skills, attention to detail, autonomy, and the ability to prioritize.
• Proficiency in office software (Outlook, Excel, Word) and ideally in an ERP or CRM system.
• Team spirit, proactive attitude, and customer-oriented mindset.
