Logistics Specialist & Sales Admin

Your role

Local Order Processing Responsibilities:

• Order Management: Manage the end-to-end order processing cycle for local customers and indent orders from GIN and MVI, ensuring accuracy, efficiency, and on-time fulfillment across Kazakhstan, Uzbekistan, and other CIS markets.
• SAP ACT! Operations: SAP ACT! Operations: - Oversee the complete sales order lifecycle in SAP ACT! from order entry and vendor purchase orders to validation, fulfillment, and invoicing ensuring data accuracy and compliance with company processes. Collaborate with Salesforce to update sales opportunities and monitor pipeline progress, while leveraging SmartPortal to provide customers with real-time order status and ensure seamless communication. - Actively involved in the SAP migration project (UZD) for Uzbekistan, contributing to a smooth system transition and operational alignment.
• Logistics & Trade Compliance Coordination: Ensure all shipments comply with local and international trade regulations, customs requirements, and internal trade compliance policies.
• Customer & Internal Communication: Foster clear and professional communication with internal departments (sales, logistics, finance) and customers to provide updates, resolve issues, and maintain high service levels
• Stock Management: Monitor and manage local inventory levels to ensure product availability for customer orders. Coordinate with supply chain and warehouse teams to track stock movements, resolve discrepancies, and support accurate demand forecasting and replenishment planning.
• Record Keeping: Maintain accurate and comprehensive customer records and order documentation in alignment with internal policies and audit requirements.
• Finance Collaboration: Liaise with finance and credit control teams to resolve billing issues, support payment allocations, and ensure accurate financial reporting.
• Receivables Support: Monitor outstanding payments, follow up with customers as needed, and contribute to initiatives aimed at reducing overdue accounts.
• Quotations & Returns Management: Support the preparation of quotations, manage product returns, and ensure accuracy in invoicing, credit notes, and related documentation.
• Continuous Improvement: Actively contribute to process optimization efforts and support cross-functional collaboration to enhance operational efficiency and customer satisfaction
• Demo Stock Management: Coordinate the ordering and tracking of demo stock to support sales initiatives, ensuring availability, proper documentation, and alignment with promotional and customer engagement activities.
• Giveaway Management: Coordinate the ordering process in alignment with Marketing, and manage the shipment and tracking of promotional giveaways—ensuring timely delivery, accurate documentation, and compliance with campaign objectives.

• Minimum secondary education in business, technical, or language studies.
• Proficient in MS Office; SAP experience is requaread.
• Fluent in English; Arabic is an advantage.
• Strong communication, multitasking, and problem-solving skills.

• Proactive, eager to learn, and able to work independently.
