Order Management Administrator

Your role
The Order Management Administrator will ensure accurate, timely, and controlled processing of customer orders and job lifecycle management within ERP, including job setup, tracking, and financial closeout, to maintain data integrity, support operational execution, and enable reliable cost and performance evaluation.
Main Responsibilities:
ERP job creation by validating incoming orders to include intersite product against quotes and establishing complete, correct job records in ERP to enable efficient downstream execution.
Maintain visibility and control of all active jobs by managing the open job logbook and tracking progress from order entry through completion to support operational alignment and prioritization.
Deliver complete and accurate job documentation by maintaining organized records (quotes, revisions, cost elements, and supporting data) to ensure traceability and audit readiness.
Execute thorough job closeout and financial reconciliation by performing quote-to-actual comparisons, material usage reviews, and cost variance analysis to ensure accurate financial reporting and business insight.
Ensure integrity of ERP job closure by confirming all costs, transactions, and documentation are complete and accurate prior to closing jobs in ERP.
Support operational efficiency through administrative coordination by assisting with quoting, logistics, and discrepancy resolution between order, production, and financial data.
Enable cross-functional alignment (secondary responsibility) by coordinating with Sales, Engineering, Finance, and Production to ensure accurate job requirements, timelines, and issue resolution.
Support customer communication (secondary responsibility) by providing order status updates and responding to inquiries as needed to ensure clarity and customer satisfaction.
Provide cross-site functional support and continuity by acting as back-up for order management and ERP processing activities across multiple locations to ensure uninterrupted operations and standardized practices

Skills/Knowledge/Experience:
Associate’s or Bachelor’s degree in Business, Operations, or related field preferred
2–5 years in ERP-based order processing, job costing, or operations administration
ERP or other operating systems experience (Encompix preferred; SAP or equivalent acceptable)
Other requirements (e.g. Language skills; competencies; expected travel requirements) Understanding of job costing, materials tracking, and order lifecycle processes
Strong attention to detail and data accuracy
Organizational and documentation management skills
Strong communication skills for cross-functional coordination
Ability to manage multiple priorities in a fast-paced environment
Salary: $79,000-$90,000/year
