Your role

As an Executive Assistant, you will play a crucial role in enabling our managers to focus on their core responsibilities. Your responsibilities will include:

 

  • Visa Administration and travel coordination, handle passports, book trips, collaborate with travel agencies, travel expense report and keep track of visas during travels.
  • Manage the signing of patent applications and coordinate with the Companies Registration Office on authorized signatories.
  • Administrate internal and external visits of bigger scale.
  • Reserve accommodation and dining for visiting guests, as well as assist with the preparation of invitations.
  • Support the scheduling and preparation of essential meetings like board meetings.
  • Identify opportunities to streamline administrative tasks and proactively suggest solutions.
  • Other general administrative tasks

To succeed, you will need

  • A solid experience as an Executive Assistant or in a similar role.
  • To be confident working with multiple stakeholders and thrives in a service-minded, collaborative environment.
  • To be highly organized, detail-oriented, and comfortable taking initiative.
  • To communicate clearly and professionally in both Swedish and English, written and spoken.
  • To be proficient in Microsoft Office and interested in improving ways of working.
  • Manage to handle multiple tasks and deadlines efficiently.
  • To build trustful relationships and contributes positively to team dynamics.

Job location

This role offers a hybrid working arrangement, allowing you to split your time between working remotely and being on-site at our HQ in Sickla, Sweden.
