Your day-to-day
The mission of the Parts Sales Administrator is to ensure accurate, timely, and efficient processing of spare parts orders while delivering a reliable and positive customer experience. The role supports service and sales operations through effective coordination, order management, and close collaboration with internal teams, contributing to service excellence and business continuity.
- Process customer spare parts orders efficiently and accurately using SAP to ensure all transactions are complete and error-free.
- Prepare and manage all necessary sales documentation such as quotations, order confirmations, invoices, and delivery notes with great attention to detail.
- Monitor order statuses and delivery timelines, proactively liaising with logistics to meet or exceed delivery commitments and customer expectations.
- Deliver responsive and professional customer support via both phone and email, promptly resolving inquiries and managing order-related issues.
- Maintain close oversight of spare parts inventory levels, working alongside logistics and supply chain teams to ensure optimal stock availability and timely replenishment.
- Keep sales and order records meticulously updated and generate detailed reports to aid stakeholders in operational planning and decision-making.
- Support the administration of contracts and related documentation to facilitate smooth, compliant transactions with customers.
- Foster effective cross-functional communication among sales, service, logistics, and finance teams to ensure alignment and workflow efficiency.
Your skills and experience

- Bachelor’s degree or equivalent qualification, preferably in Business Administration, Logistics, Supply Chain Management, or related disciplines.
- 2-4 years of relevant experience in sales administration, order processing, customer service, or logistics support roles, with a preference for backgrounds in industrial equipment, spare parts, or after-sales service sectors.
- Proficiency with SAP modules (particularly SD/MM) and advanced skills in Microsoft Office applications, especially Excel for reporting and data management.
- Hands-on experience in handling customer orders, preparing quotations, invoicing, and coordinating deliveries.
- Basic proficiency in business English to effectively communicate with internal teams and customers.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
