Service Planner

Your role

• Acting as the main point of contact between our customers, OXYMAT Service Partners and our team, ensuring clear communication and smooth operations.
• Coordinating and managing service resources, supporting our Field Service Technicians in delivering quality service. It includes job executed by OXYMAT Service Partners
• Listening to customer requests and developing practical service plans, taking responsibility for seeing them through to completion.
• Overseeing the entire customer journey from initial enquiry and scheduling, through to service delivery, invoicing, and payment.
• Contact customers via phone or email to schedule and confirm service visits, clearly communicating work scope and timings.
• Maintain ongoing communication with service technicians, internal teams, and other Service Centers to fulfill customer requirements.
• Collaborate with the Service Manager and Service Leader to resolve operational and planning issues promptly.
• Work closely with colleagues across Aftermarket and Spare Parts departments.
• Promote teamwork and a positive team spirit across departments. 
• Assist technicians and OXYMAT Service Partners in planning their service jobs for maximum efficiency, utilizing tools like SAP, Planning tools, COPS
• Ensure proper order allocation and approval before the scheduled visit.
• Confirm availability and delivery of spare parts before service visits and manage returns accurately.
• Monitor and document progress for all customer orders to guarantee timely completion and additional work scheduling.
• Maintain planning boards based on technician feedback for accurate resource allocation and follow-up via SAP reporting.
• Take ownership of the entire service flow from order creation to invoicing and credit note issuance if necessary.
• Perform local administrative tasks as defined by management.
• Serve as a superuser in specific areas (e.g., MAM, COPS, Administration) and support colleagues.
• Compare technician input to ensure customer and equipment data accuracy.
• Continuously seek best practices to optimize operational workflows.
• Improve and develop service procedures for sustained high efficiency.

To succeed, you will need

Professional qualifications:

• Intermediate knowledge of English
• Excellent computer skills (MS Office package, Outlook, Teams)
• Ability to organize small team
• Experience with administrative processes.
• Experience with SAP, COPS, MAM, Movilizer
• Planning Board, and ePAD are considered an advantage.
• Solid technical experience of air compressors (Advantage)
